Delivering your radio ad to the right specification

Ask the receiving station for its current delivery specification before preparing the final file. Confirm the required duration, audio parameters, loudness expectations, submission route and deadline. Then identify the campaign version and obtain acceptance. SpotFactory’s planned generator has no confirmed export catalogue or automated station delivery; its current local briefing can help collect the requirements.

Get the specification from the recipient

A file extension does not describe every technical parameter. Ask the station or sales house for a dated specification and the details of the team receiving the recording. If several broadcasters are involved, compare their requirements individually. Do not treat a file accepted on a previous campaign as proof that the same settings remain appropriate. Allow time for a correction and a second submission before the intended first broadcast.

Name the message so another person can identify it

A useful naming convention connects the advertiser, campaign, market, language and approved version. For example, “spring_opening_DE_English_launch_approved” is an internal illustration, not a broadcasting standard. Keep the active dates and placement instructions in a separate handover note, where they can be read without decoding a long filename. If a reminder replaces the launch message, state which version is superseded and when the switch should happen.

Check the actual exported file

Open the file you intend to submit rather than relying only on the editing session. Listen from the first sound to the end, checking for missing syllables, unwanted silence or a clipped closing line. Compare the complete duration and audio parameters with the recipient’s specification. Have someone listen without the script to confirm that the brand and action remain clear. Check the final recording against factual approval and the documents covering its intended use.

Close the handover with a response

Sending a file and having it accepted are separate events. Ask the recipient to identify the version received and confirm either acceptance or the specific correction needed. For a replacement, confirm that the older message will no longer be used during the new period. Keep the accepted file, approved script, permissions and correspondence together. The current SpotFactory briefing does not perform these checks automatically, produce an export or transmit a finished recording to a broadcaster.

Frequently asked questions

Can I send one file to every station?

Only after confirming that each recipient accepts its specification and that the correct campaign version applies. The same recording can still need different delivery instructions or accompanying information.

What should I do if the file is rejected?

Ask for the precise reason and expected specification. Correct the relevant version, identify it clearly as a replacement and obtain a fresh response before treating delivery as complete.
